Executive Assistant

FIRMA Foreign Exchange is looking for a professional, responsible person to work as an Executive Assistant for our busy downtown office. As an integral member supporting the Executive team, this position will provide direct assistance to the Chief Executive Officer (CEO) with their day to day administrative support, project and banking relationship management.  We are looking for someone who is a pro-active self-starter that will take the initiative to take on tasks as they see them. 

Position Responsibilities:

  • Manages the CEO’s schedule and identifies conflicts and priorities as to make adjustments as necessary.
  • Supports the Chairman on occasion.
  • Liaise with direct reports of the  Executives to provide status updates to the CEO.
  • Manage initial contact with external parties who wish to make inquiries of the CEO.
  • Engage various stakeholders to provide necessary support to the CEO for the rollout of new projects and initiatives.
  • Coordinates travel arrangements.
  • Prepare reports, take minutes, agendas and presentation material to a polished and professional standard.
  • Drafts preliminary documentation, such as correspondence, as required.
  • Schedules, plans and manages internal and external meeting details as required (such as catering and      reservations).
  • Will assist in preparing and monitoring the executive’s projects.
  • Manage incoming mail and e-mail correspondence.
  • Assess changes to process and technology throughout the organization and their potential to effect the deliverables of the CEO.
  • Other duties as required.

Desired Skills & Experience:

  • Minimum 5-8 years’ experience in a Senior Executive Assistant role.
  • Intermediate to Advanced skills in Microsoft office suite is required.
  • SharePoint site administrator experience would be considered an asset.
  • Bookkeeping and financial management skills.
  • Experience reading and dealing with contracts.
  • Exceptional verbal and written communication skills.
  • Exceptional organizational, prioritization, and multi-tasking skills combined with a strong attention      to detail Keen problem solving skills and the ability to deal with discretionary information with reliability and confidentiality.
  • Property management experience is considered an asset.
  • Experience in a financial environment is considered an asset.

Note:  Personal transportation is required, as you may be required to attend offsite meetings.
